Welcome to your new fastmetrics™ phone system. This document will help you setup your new phone, as well as give you instructions on how to use some of the features of your fastmetrics™ VoIP phone system. Please follow the instructions in the Getting Started section to quickly setup your voicemail greetings.

To record your voicemail greeting:

Pick up your handset.

Let′s start by pressing the Messages button on your phone. It′s to the right of the screen and above the hold button.

The voicemail system will announce how many messages you have waiting in your mailbox, and then give you a menu of options.

  • Press # to exit the voicemail box.
  • Press 2 to record your voicemail greeting.
  • Press 1 to record a new greeting.
  • When you are finished recording, press 0 to stop recording, and then press 5 to save the recording.
  • If you would like to re-record your greeting, press 1 to start recording.
  • Hang up when you are satisfied with your greeting.

To record your name:

Your recorded name will be used to announce when you join conferences and when searched for in the company directory.

  • Press *54 to access the record name menu.
  • Pick up your handset.
  • Press 1 to record your name.
  • When you are finished recording, press 0 to stop recording, and then press 5 to save the recording.
  • If you would like to re-record your greeting, press 1 to start recording.
  • Hang up when you are satisfied with your name.


Voice Messaging

Checking Voice Messages from your Phone

The Messages button on the right side of your phone is a quick way to check your voicemail at your phone. You can also reach the voicemail box from your phone by dialing *51. When you have new messages waiting for you, the red LED light above the LCD screen will flash.

Checking your messages:

  • Press the Messages button or dial *51.
  • Press 1 to listen to new messages.
  • Press 8 to change to your saved messages mailbox.

When listening to voice messages:

  • Press 1 to play the next message.
  • Press *1 to repeat the current message.
  • Press 2 to save the current message.
  • Press 3 to delete the current message.
  • Press 4 to forward the current message to another extension′s mailbox.
  • Press 8 to change to your saved messages mailbox.

Checking Voice Messages Remotely

Whether you are on the run, or working from home you can check your voicemails remotely from any telephone.

  • Dial your direct number (DID)
  • Press * twice “**”
  • Enter your PIN

If you are checking your voicemail from the same phone number often, we can add it as a Home Number which bypasses the above process and puts you directly to your voicemail when calling from that number.

 

For users who do not have a direct telephone number we can forward your messages to any email address(es) or you can be transferred into your voicemail by dialing someone in the office.

 

  • Dial the office telephone number
  • Have the answering party transfer you to 55
  • Press ** and enter your PIN when prompted.


Web-Enabled Features

To log into your account:

  • Open a web browser and go to mail.yourdomain.com
  • Type your user name and password and click Sign In.
  • Click Call Control in the upper left hand corner.

To change your Voice Mail PIN code:

  • In the Call Control dialog, click the Settings tab.
  • Replace the asterisks in the Service Access PIN field with your desired PIN.
  • Click Save.

Setting your Home Number

By setting your home number you allow a single number, such as your mobile phone, to bypass the voice mail greeting when dialing into your direct number. You will be immediately prompted to enter your voice mail PIN so you can access your voicemail.

  • In the Call Control dialog, click the Settings tab.
  • Enter your desired home number in the Home PSTN Number.
  • Click Save.

If you choose not to set your home number or you are dialing from a separate number you can check your voice mail from any phone by dialing your direct number and pressing # which will then prompt you for your PIN.


Set Alternative Contact (Number)

Use Call Control to also configure an Alternative Contact. If a caller presses 9 in the voicemail menu, they are transferred to your Alternative Contact.

For example, set your receptionist, operator or company directory. Callers can transfer here if they do not want to leave a voicemail, by pressing 9 in the menu.

  • Follow the steps for setting Home Number, or set Alternative Number at the same time as your Home Number.
  • Enter your Alternative Number in the Alternative Contact field.
  • Click Save

Call Forwarding, Transfers, Parked Calls

Call Forwarding

Call forwarding redirects all incoming calls at your handset to any number you choose.

To enable Call Forwarding:

  • Press the Forward button below the LCD screen.
  • Dial the number that you want all calls forwarded to.
  • Press the Enable button below the LCD screen.

To disable Call Forwarding:

  • Press the Forward button below the LCD screen.
  • Press the Disable button below the LCD screen.

Call Transfer

Transferring a call sends the call you are currently on to another extension, and lets you give the new receiver an announcement before completing the exchange.

While on a call:

  • Press the Transfer button below the LCD screen or on the left column of buttons.
  • Dial the extension or number that you want to transfer to.
  • Press the Send button below the LCD screen.
  • When the new party picks up, make your announcement.

Blind Transfer

A Blind transfer sends the call you are currently on to another extension without an announcement.

  • Press the Transfer button below the LCD screen or on the left column of buttons.
  • Press the Blind button below the LCD screen.
  • Dial the extension or number that you want to transfer to.
  • Press the Send button below the LCD screen.
  • Hang up the phone.

Call Park and Call Pickup

Call Park allows you to place a call on hold in such a way that you can pick up that call from another device. This feature is ideal for offices where you may answer a call on the run but would like to continue the conversation at your desk.

To Park a Call:

  • Press Trnsfer
  • Press Blind
  • Dial 77x where x is the “slot” that you will park the call in (x will typically be 1-9)
  • Press Send

The call will now be parked on slot x. So if you Dial 771 in the third step the call would be on the 1st slot.

To Pick up a Parked Call:

  • Dial 78x on your preferred device where x is the slot you parked the call previously.

So to pick up a call from slot 1 you would dial 781.


Transferring Directly to Voicemail

To transfer a call directly to voicemail we will use the Blind Transfer feature. To transfer to voicemail we will blind transfer to the extension of choice preceded by 55.

  • Press Trnsfer
  • Press Blind
  • Dial 55
  • Press Send

So to transfer to extension 200′s voicemail we would blind transfer to 55200.



Conferencing

Three-Way Conferencing

Your phones can conference up to 3 parties including yourself.

To start a three way conference from scratch:

  • Dial the first party from your phone
  • Press the Conf softkey
  • Dial the second party
  • Press Conf to join the calls

Conferencing when you already have one party on the line:

  • Press Conf
  • Dial the second party
  • Press Conf to join the calls

When you are done, you can hang up or disconnect one party and remain on the line with the other.

To disconnect a single party:

  • Press the Split softkey – both calls are put on hold
  • Use the blue up and down keys to select which party you′d like to disconnect.
  • Press Resume
  • Press End Call
  • Press Resume to continue with the other party.

Call Conference Center

The Call Conference Center helps organize conference calling among multiple callers both inside and outside of your organization.

To reach the Conference Center′s menu system, dial 760.

To Start A Conference:

  • Dial 760
  • Press 2, to start a conference.
  • Press 2, to start a open conference (where anyone can speak) or Press 1, to start a single-point conference (where only the first person can speak).
  • Write down the six-digit PIN that the conference center gives you. This is the code that everyone joining will use to access the call.

To Join A Conference:

  • Dial 760
  • Press 1, to join a conference.
  • Dial the six-digit PIN for the conference you want to join. Then press #.
  • The first person who joins a conference is the organizer and primary speaker.

To Exit A Conference:

  • Press # or hang up

To Redirect Incoming Caller To A Conference:

  • Answer the call
  • Give the caller the six-digit PIN for the conference
  • Press Transfer
  • Press Blind
  • Dial 761
  • Press Send

The system will prompt the user to enter the six-digit PIN and then they will enter the conference.
